---------------------------------------------- The members will be asked to consider and if thought fit pass the following Ordinary Resolutions (50% or more to pass) and Special Resolution (75% or more to pass): 3a. Notice of Ordinary Resolution – Directors Benefits To approve, pursuant to Sections 10(6) and 10(6A) of the Registered Clubs Act, the following expenditure and benefits for Directors for the period from the date of this resolution to the date of the next AGM. - The reasonable cost of a meal and beverage for each Director immediately after a Board meeting on the day of that meeting, provided meetings are held during normal meal times and meals are consumed at the club.
- Reasonable expenses for the holding of annual end of term of office and Christmas dinners for the Board of Directors, their guests and special dignitaries who have rendered or may render a service to the Club.
- Suitable parking spaces for the Directors in the car park.
- A suitable club shirt and blazer for each Director that may be worn at club and industry events.
- The members hereby approve and agree to expenditure by the Club of a sum not exceeding $10,000 for the professional development and education of the Directors until the next Annual General Meeting and being:
- The reasonable cost of Directors attending the Club's NSW Annual General Meeting.
- The reasonable cost of Directors attending seminars, lectures, trade displays and other similar events as may be determined by the Board from time to time.
- The reasonable cost of Directors attending other registered clubs for the purpose of viewing and assessing their facilities and methods of operation provided such attendances are approved by the Board as being necessary for the betterment of the Club.
- The reasonable cost of Directors being members of the Club Directors Institute (CDI).
Note: The members acknowledge that the benefits noted above are not available to members generally but only to those who are Directors of the Club. 3b. Notice of Ordinary Resolution – Volunteer and Representative Player Benefits To approve, pursuant to Sections 10(6) and 10(6A) of the Registered Clubs Act, the following expenditure and benefits for Volunteers or Representative Players for the period from the date of this resolution to the date of the next AGM. - Apparel, golf balls and/or assistance with transport costs to members of teams representing the Club in competitions or events, as determined by the Board.
- The allocation of a reserved tee-time for Golf Committee persons rostered on cards or results duty, as determined by the Board
- An allowance to pay the reasonable cost of meals and beverages for voluntary helpers, as determined by the Board.
The members acknowledge that the benefits noted above are not available to members generally but only to those who are Volunteers or Representative Players of the Club. 3c. Notice of Ordinary Resolution - Removal of Auditor To consider and if thought fit, pass the following ordinary resolution which must be passed by at least 50% of the members attending the meeting and entitled to vote on the resolution: "That Northcorp Accountants be removed as auditors of the company in accordance with s329(1) of the Corporations Act 2001." Note: The Board has approved tabling this Ordinary Resolution and recommends that members vote in favour of this resolution. The Board has explored alternative quality providers for providing general purpose financial statements and recommends changing Auditors. 3d. Notice of Special Resolution - Appointment of Auditor To consider and if thought fit, pass the following Special Resolution which must be passed by at least 75% of the members attending the meeting and entitled to vote on the resolution. Members who abstain from voting are excluded from the percentage count. "That PDD Accountants Pty Ltd (ABN 40 601 373 979), having been appropriately nominated, be appointed as Auditor of the company in accordance with s327D of the Corporations Act 2001." Note: The Board has approved tabling this Special Resolution and recommends that members vote in favour of this resolution. Dated: 5th September 2017 By direction of the Board Daniel Constable Chief Executive Officer | | Membership Offer - Tell a friend! | | As contained in the Notice of Annual General Meeting above, nominations forms for Board positions are available from reception from 4/9/17 to 5:00pm Monday 18th September. Positions accepting nominations are Director (3 years), Director (3 years) and Treasurer (3 years). The current Directors and Treasurer in those positions are eligible to stand for re-election, those being Neil Smith, Brian Harrison and Treasurer Gordon Bain. Every now and then the Course Manager places temporary notices on the course indicating things such as holes that are closed, directional signs for players on paths to follow or unsafe areas due to tree works. Members are required to follow the directions on the signs as they are official notices of the Club. Recently for example the 18th hole was closed and a notice in place to walk the 18th and proceed to the 1st around the rear of the 18th, many chose to ignore this and took shortcuts across the 9th fairway to the 1st both interrupting players coming up the 9th and adding an unnecessary additional risk of injury. In February 2017 the Board approved a policy in regards to the issuing of annual cart permits for those members looking to bring their own carts to the course, it was decided at the time to not issue any further permits and cap the permits to a maximum of 25. Notice of this change was published in an earlier bulletin. If you have a cart and don't have an annual permit you may still bring it to the course and pay the daily fee of $15. Plans are underway to install a toilet amongst the tree area to the rear of the 12th green (left side) and along the left of the 13th, tucked away amongst the trees. The toilet will be similar in build to the one which is near the 17th green / 6th Green area. Contributions to meet the costs of additional facility are being thankfully received from Men's Vets, Women's Vets and Women Golf Committees. The area will serve not only golfers on the course proper but members and other attendees at clinics and lessons on the practice range. The Club recently partook in the ClubGRANTS programme. As part of the programme we made donations to Tacking Point Surf Lifesaving Club ($2310) for rescue equipment and Hastings Public School ($1270) for hearing impaired teaching kits. A recent Board decision considered the use of the Practice facilities by non-members. The outcome being that the policy is now "Any visitor who wishes to use the practice facilities must be with a member at all times." This will be updated in next years handbook but is effective immediately. Within the notice of the annual general meeting is a resolution to remove our current auditor and appoint a new auditor. As with all areas of Club operations the Board and Management are considerate of how members funds are spent and testing the market every now and then to ensure fees we pay remain competitive. After requesting fee proposals from our current and other auditors who provide audits to the necessary standards the Board are in favour of the resolution to remove and appoint a new auditor. CARTS IN AND AROUND THE BBQ AREA - Billy Brock was seen last week fishtailing it through the chicanes in and around the bbq area and treating passing golfers as witches hats on a learn to drive course. Don't be like Billy! The area in and around the BBQ area is often heavily congested and all cart drivers are requested to drive in and around the area with caution - SLOW DOWN PLEASE. The Board recently reviewed the re-allocation of bays within the cart shed to those already in a bay. It has been decided that once a bay is allocated the next available bay is to be made available to the next person on the cart storage waitlist and not be available for re-allocation to a person already in storage. So, once you have been given a bay, that is yours - no re-allocation if a bay closer to the door or with better views becomes available. Great night for staff night out or get together with friends All from 8pm - $17.50 Members or $22.50 non members. | | Thursday Night Putting Competition - Host? | | | We are contemplating kicking off a Thursday evening $$$ cash putting competition and would like to know if a member would like to volunteer to host for a couple of hours each week. There may be an ale or two provided to an enthusiastic host. Please let reception know if you would like to commence a compere career :) Note: Loosely the format will be $5 entry, $4 of entry fees to cash prize pool and $1 towards a jackpot putt at the end from top of putting green to bottom tier hole. Hoping for 50 or so in to give $100 1st, $60 2nd , $40 3rd. | | The Board have recently adopted the Richard Chamberlain course improvement plan as the principle guiding document for course improvements. This more attainable course improvement plan has come about after consideration that the previous 2007 Course Plans called for considerable re-routing of holes causing a necessary flow on of construction across the course without being able to address holes independently of each other. The plan provides guidance towards hole improvements with green, tee and hazard details to be produced as sections of the plan are put forward annually to progress. The key documents being: Course Improvement Plan Course Improvement Report A copy of the Plan and Report will be available in the Board Room for viewing from Monday 18 September (awaiting print copy in appropriate size). In addition to these, the Club has engaged AGCSA Tech to complete an agronomy report and recommendation on best grass types for playing surfaces to be adopted for course improvements as they are undertaken. This will consider our local soil types, rainfall, temperatures, available sunlight and quantity of rounds in providing a recommendation on grass type installations as course works are undertaken. There is not yet a timeline in place to implement the staging of sections however forward budgeting is allowing for 2/3 greens per annum. In the meantime a compliant DA for amendments to the existing structure (course) will be put forward to Council to allow commencement of clearing and offset plantings as per their requirements. Much of the tabled clearing subject to Council approval will be undertaken to address known troublesome areas of safety or areas unfit for purpose (i.e. heavily shaded tees). During the review process at minimal cost a concept plan was considered to allow future talks on how the Club may be able to position itself with holes along the dunes and ocean views whilst on course. Similar works have been progressed where waivers have been given for significant regional developments by State Planning Ministers ... so food for thought below is a copy of that concept.... Members must be present to claim. | | | Hastings Education Fund Golf Day | | Ed note: A little slow to press, sorry ... The Port Macquarie Golf Club hosted the Hastings Education Fund charity golf club on Sunday 21st May 2017. The day was organised by the Port Macquarie Veteran Golfers . This is the fifth year the event has been held . The day was a perfect day for golf with 96 players , 80 golfers with official handicaps and 16 social golfers The event was a teams event with best 3 out of 4 stableford scores to count on each hole . The event was held in 2 parts social golfers and golfers with an official handicap .Players paid $20 each green fees and received a sausage sandwich and a drink . The results of the golf were as follows : - Social Golf . Both the winners and runners up received a free game of golf with a cart at Port Macquarie Golf Club for 4 players
- Winners Golfers with official handicaps Paul Atkin , Julie Lidgard , Miki Collins and Bob Graham with 119 points , they received a game of golf at the Vintage Golf Club plus a $200 lunch voucher .the runners up were last years winners Fred Fouche Adri Fouche , Corrina Munro and Wayne Douglass with 116 points they received 2 nights accommodation at Dungog with dinner bed and breakfast and a game of golf at Dungog . The winners were given the choice of which prize they would like .
- All teams from 3rd to 6th had the choice of prizes with each player receiving a prize worth at least $50 . Prizes were also given for nearest the pins on each par 3 to both ladies and men . .
- In addition players in teams from 7th to 12th received a golf ball each .We also had a draw from cards for 3 prizes to both lady and men golfers who had not won a prize .

All prizes were donated with the exception of the first prize which we purchased at a very reduced rate . We thank all the businesses that donated the prizes . The financials are detailed in the attached statement showing a profit of $8435.95. . We raised funds by the raffle sold at many locations throughout the Hastings , on par 3 holes players could bet whether they hit the green with their tee shots for men and second shot for ladies If successful the players won a free raffle ticket of 5 numbers . Thanks also go to the Port Macquarie Golf Club for the donation of the green fees of $20 per player There were many helpers on the day those on the BBQ and on the par 3 holes . It was pleasing to see many of the recipients of scholarships helping on the day . Ben Clark one of the recipients spoke at presentation thanking all who took part in the event and raffle .
